Job Description
USPIRG is seeking an Office Manager to oversee the day-to-day operation of our Boston office. The Boston office is home to a family of state and national public interest organizations in addition to USPIRG, including Environment America, the Fund for Public Interest Research, Green Corps, and others comprising more than 80 staff members. The Office Manager is responsible for ensuring that office operations meet the needs of all these organizations and their staff, acting as a direct liaison to each department to maintain and improve office operations. The Office Manager is also responsible for upholding a professional, friendly, team-oriented atmosphere in the office for all Boston staff and visitors.

Overall, the Office Manager has six primary areas of responsibility: Staff Management, Event Organizing, Budget Oversight, IT and Equipment Maintenance, Facilities Oversight, Internal Communications.

1• Staff Management
The Office Manager leads the Boston office Administrative Team, composed of administrative personnel from each of the organizations housed in the office. The Office Manager organizes this team on office operations and logistics for staff events and trainings. The Office Manager also organizes and coordinates meetings with senior staff on improving office policies and operations.

2• Event Organizing
As one of the hubs of the national PIRG movement, the Boston office hosts numerous conferences and trainings for PIRG staff from all around the country. The Office Manager works with national PIRG staff to help design and coordinate all aspects of these events, including securing event venues, facilitating housing and office logistics for visiting staff, overseeing budgets and expenses, organizing support teams, and assigning staff responsibilities for the event. The Office Manager also helps coordinate specific local events, including office socials and retreats, as well as special political events.

3• Administrative and Budget Oversight
The Office Manager creates and manages the overhead budget for the Boston office. The Office Manager is charged with making sure resources are used as effectively and efficiently as possible, and always looks for new ways to minimize costs and add services for the Boston office, serving as the primary liaison to current and potential vendors. The Office Manager also processes billing and invoices for office expenses.

4• IT and Equipment Maintenance
The office manager oversees office, telephone and information technology equipment in the Boston office. The Office Manager provides training and support to staff using equipment, tracks equipment usage, and maintains and purchases new equipment as necessary.

5• Facilities Maintenance
The Office Manager oversees the physical Boston office space as well as off-site storage facilities. The office manager ensures all Boston USPIRG facilities are used efficiently and that they are maintained in an orderly manner. This requires working with building management for the office at 44 Winter St., as well as our two offsite storage areas, performing routine maintenance as well as inventory management and expansion as required.

Qualifications
Qualified applicants should be goal-driven and results-oriented with a friendly and professional demeanor and a strong commitment to public interest issues. Excellent communication, leadership and organizational skills are a must. Creative thinking skills are important, as is the ability to juggle many different projects and priorities at once. Qualified applicants must be computer-savvy and have a working knowledge of most office equipment as well as a strong problem-solving ethic.

Candidates for this position should have a minimum of three years of relevant administrative or office management experience. Experience working in a non-profit setting is a must, and previous experience in political or campaign organizing is preferred.
